BACKGROUND:

The City of Cocoa maintains a complex computing infrastructure that is dependent on enterprise level software and maintenance to ensure efficient operations. To minimize cost, the City has previously leveraged the State of Arizona contract ADSPO16-130652 to acquire software and maintenance through CDW-G at deeply discounted levels. Examples of software purchased though this agreement previously has included Microsoft Enterprise licensing, VMWare licensing and maintenance, and Fortinet licensing and maintenance as well as other smaller purchases.

The action requested of City Council is for execution of the Standard Piggyback Contract and future purchases made through the use of the contract will be subject to City procurement policies. It is estimated that the City could spend up to $400,000 per year through the contract to ensure it is properly licensed and has maintenance coverage on its critical infrastructure platforms. Approval of this piggyback agreement will provide an efficient and cost-effective mechanism for the City to procure necessary licensing and maintenance through a reputable software value-added reseller (CDW-G).

By maintaining a comprehensive computing infrastructure, employees can more effectively deliver City services, provide more accurate information, more efficiently perform critical tasks.

BUDGETARY IMPACT:
